Overview
Love flawless event logistics, sharp marketing, and building real partnerships? We need a highly organized, community-first doer who can plan big events, craft attention-grabbing materials, recruit and steward partners, and keep our CRM and permit processes squeaky clean!

What you’ll own

Event planning & organization

  • Lead end-to-end planning for signature community events (Annual Dinner, Hot Cocoa Walk, Ice Carving, Spring Wine Walk/5K, ExB Days, Coffin Races, Christmas Parade, Santa Chalet, etc.).
  • Manage budgets, timelines, vendor contracts, sponsorships, registrations, volunteer deployment, on-site ops, and post-event reviews.
  • Keep event docs, calendars, and databases current and actionable.

Marketing materials & special projects

  • Design event branding and collateral: logos, flyers, posters, programs, banners, invitations, and thank-yous (Canva or similar).
  • Oversee regular marketing tasks (ads, billboards, mailers, digital images) and coordinate with agencies.
  • Lead website/CRM content updates and special CRM/website projects.

Partnership engagement & recruitment

  • Recruit, onboard, and retain partners; manage Ambassador program and partner milestone events (ribbon-cuttings, certificates).
  • Produce partner newsletters, track contributions, and improve partner benefits and renewal processes.
  • Be a visible ExB advocate in the Burlington community.

Community connection & admin

  • Monitor info@ and phone requests; manage office opening/closing, supplies, swag, and nametags.
  • Run special event permit intake, edits, stakeholder distribution, and issuance.
  • Recruit and maintain volunteer records and lead ambassador onboarding and meetings.

Systems & process

  • Own the partner CRM / partner database: data hygiene, onboarding, event listings, and reporting.
  • Maintain clear SOPs for permits, volunteer deployment, sponsorship tracking, and event checklists.
  • Deliver repeatable, measurable improvements to processes and data.

You (must-haves)

  • 3+ years event management or partnership engagement experience (nonprofit/chamber/tourism a plus).
  • Strong project management skills: budgets, timelines, vendor & volunteer coordination.
  • Experience designing marketing assets (Canva or similar) and coordinating with vendors/agencies.
  • Comfortable owning a CRM/partner database and improving data processes — you love checklists and SOPs.
  • Excellent written and verbal communicator; confident public presence.
  • Available evenings/weekends; valid driver’s license.

Nice-to-haves: Email marketing tools (Constant Contact or similar), Google Workspace/Office365, graphic designer expertise (Canva or InDesign).
